Applicant Tracking
Applicant tracking covers all processes from job posting through candidate communication to hiring – including application receipt, screening, interviews, and job offers.
What is Applicant Tracking?
Applicant tracking (also called applicant management or Bewerbermanagement in German) refers to the structured management of all activities around the hiring process: from publishing a position through reviewing incoming applications, coordinating interviews and assessments, to the final decision and contract signing. In a broader sense, it also includes onboarding of the new employee.
Good applicant tracking serves two goals: efficiency for the recruiting team (less effort per hire) and a positive candidate experience (applicants feel valued and informed). Both directly influence whether top talent stays through to the offer – or drops out beforehand.
The Biggest Bottlenecks in Applicant Tracking
Even well-organized recruiting teams struggle with the same structural problems:
Fragmented communication channels: Candidates write by email, message via LinkedIn, call in, or ask for status updates via WhatsApp. Without a central inbox, recruiters lose track – messages fall through the cracks, candidates wait days for a reply.
Slow processes: The more coordination loops between recruiter, department, and HR leadership, the longer the time-to-hire. In competitive markets, top candidates often accept an offer within 10 days – while the average time-to-hire stretches to 30–45 days.
Lack of transparency for candidates: Which stage am I at? and When will I hear something? are the most common candidate questions – and the most common causes of ghosting and process dropouts. Those who don't communicate, lose.
Manual coordination overhead: Scheduling interviews, writing rejections, sending status updates – all manual, all repetitive. With 20 open positions and 15 active candidates each, an enormous administrative burden builds up.
Multichannel Applicant Tracking with SendSeven
Modern applicant tracking solves these bottlenecks through three principles: central inbox, automation of routine tasks, and seamless team handoffs.
Unified Inbox for all channels: SendSeven Conversations bundles WhatsApp, email, SMS, and more channels into a single inbox. Every candidate has one thread – regardless of which channel they use. No app switching, no lost context, no missed message.
Automation of status updates: Application acknowledged, interview invitation sent, reminder 24 hours before the appointment, status message after the decision – everything runs automatically. Recruiters focus on conversations, not administration.
Team handoffs without information loss: When a candidate moves from pre-screening to the department, the new contact person sees the complete communication history. Internal notes (e.g., Candidate prefers remote, flexible on salary) are retained. With Team Chat, recruiters can comment directly in the candidate thread without including the applicant.
Integration with ATS Systems
SendSeven complements your existing Applicant Tracking System (ATS) – it does not replace it. Via Zapier, Make, or n8n, status changes in the ATS can be automatically translated into messaging actions: candidate moves to Interview invited status → WhatsApp message with scheduling link is automatically triggered.
For custom integrations, the REST API is available – structured webhooks deliver real-time events to your ATS, CRM, or HR system. Setup takes under 30 minutes with pre-built Zapier templates.
The result: an applicant tracking process that is faster, more personal, and more scalable – without additional headcount. Learn more in our Recruiting Messaging Guide.
